Position: Ethics & Compliance Intern (12-month Contract)

Business Unit: Barloworld Corporate Office

Location: Sandton

Reporting to: Executive: Ethics and Compliance

Overview: Job purpose and deliverables

Core purpose of the role

Assist with the activities of the Group Ethics and Compliance Department. Reporting directly to the Executive: Ethics and Compliance whose role interfaces with senior people in the organisation, including members of the Group Exco, Divisional CEOs and their respective exco members as well as Non-Executive Directors and their respective subcommittees; including external stakeholders e.g. law firms, forensic investigators, and auditors.

key deliverables and outputs:

  • Development and implementation (where necessary) of all aspects of the anti-bribery and corruption compliance program
  • Liaising with internal and external auditors on group ethics and compliance matters.
  • The creation, implementation and maintenance of written policies, procedures, and standards / codes of conduct.
  • Communication, liaison and offering direction as appropriate, with the divisional compliance staff.
  • Assistance where appropriate, with the prompt response and investigation of violations of policies/procedures and offences identified, as well as the oversight of corrective actions as appropriate.
  • Interfacing with third party service providers, counsel, and compliance consultants on regulatory/compliance matters and in respect of outsourced investigations.
  • Drafting, research and reporting on ethics and compliance related issues
  • Manage the full life cycle of investigations of all reported non-compliances (Ethics Line reports and “walk-ins”) in accordance with the Protected Disclosures Act and Global Whistle-blowing Policy
  • Monitoring, tracking, resolution, and reporting on the status of all investigations
  • Logging of “walk-in” and Ethics Line reports (Tip-Offs Anonymous) on the Deloitte Case Management System
  • Review of investigation reports submitted for closure from Divisions and external investigators.
  • Allocation of ethics calls to Divisions or to external service providers in complex, high risk or sensitive cases.
  • Updating the Deloitte Case Management System with investigation reports, supporting documents and action items for the entire life cycle of ethics case management
  • Being a key touch point between the divisions and the Group Ethics Office (and Deloitte) regarding follow-ups on outstanding action items.
  • Administrator and custodian of the Ethics Case Management system, and Gifts and Hospitality and Conflicts of Interests Declaration System (which we are in the process of procuring from Isometrix)
  • Consolidation of reports from Divisions and JVs to compile a Group Report for the board committees.
  • Authoring the quarterly Ethics Newsletter
  • Support ethics champions
  • Following up on the payment of invoices
  • General Admin

  • Law firms, forensic investigators, and auditors

Academic qualifications

Essential:

  • Matric and Degree in Law/Internal Audit
  • Admitted Attorney

Work Experience

Advantageous:

  • 2 years + experience in legal or audit

Knowledge

Essential:

  • Computer literate
  • Sound financial and accounting knowledge combined with commercial acumen

Skills

Essential:

  • Attention to detail and high level of accuracy
  • Highest level of confidentiality
  • Planning skills
  • Solid knowledge of Microsoft Office suit
